Uploading Contact Database

This guide outlines how to upload your contacts database in bulk using a CSV file and manage attributes for effective organization within Marqvia.

Uploading Contacts in Bulk

To upload contacts in bulk, follow these steps:

  • Go to the "Contacts" tab.

  • Click the "Import CSV" button.

Upload Contacts

  • Country Code:

    • If your CSV file already includes country codes for the phone numbers, tick "Yes" under the "Phone Number have country code" checkbox.

    • Otherwise, select the country code you wish to add for all numbers in the CSV file from the dropdown.

Important: Marqvia can only add ONE country code to all numbers in a single CSV file. If your contacts have multiple country codes, please upload separate CSV files for each country code.

  • Add Tags (Optional):

    • Add tags (if required) for all the contacts in the CSV file.

    • Click "Add" to save the tag.

  • Upload CSV File:

    • Upload your CSV file. You'll then see a preview of some of your contact numbers and other details in the "Preview Import" section.

Important: Kindly only upload .csv file format. You may click on the "Download Sample File" to view the correct CSV template.

  • Tick the "Data has headers" option if your CSV file includes a header row; this will ensure the first row is skipped during import.

  • Click Next.

Data Validation

  • Check that all data columns are mapped to the correct Contact Fields.

  • By default, columns will be automatically assigned to the respective Contact Field if the names match. You can manually drag data into the correct Contact Field boxes if needed.

Note: If you need to add a new Contact Field, please do this step beforehand. You may refer to our guide on how to add a Contact Field here.

  • Click Next once all data is aligned.

Complete Import

It will take a few moments to upload the contacts. Once the process is completed, you can click Finish.

Things to Note Before Uploading Your CSV File:

Mandatory Data in CSV

  • Phone Number: This is the unique identifier for each contact.

  • Full Name: Without a name, managing your chats becomes difficult, as each conversation will appear nameless.

It is highly recommended to add as much information as possible for each of your contacts. You may add columns in your Excel file for attributes such as Race, Birthdays, Language, etc.

Note: Each column is referred to as a Contact Field in Marqvia. There are some default Contact Fields in Marqvia. If you need to create a new Contact Field, please refer to our guide on how to add a Contact Field here.

Avoiding Duplicate Values

By default, Marqvia will merge duplicated Phone Numbers, but it is best practice to ensure no duplication in your data before uploading:

Check for Duplicates in Excel

  • Open your Excel sheet.

  • Highlight the cells you want to check (e.g., the Phone Number column).

  • Navigate to Home > Conditional Formatting > Highlight Cells Rules > Duplicate Values.

  • Choose a formatting style to highlight duplicates and click OK.

Review and Adjust

Carefully review all highlighted duplicates. Make necessary adjustments to remove or differentiate duplicate entries before saving as a CSV.

Adding Country Code to Your Numbers

You are able to send WhatsApp messages worldwide, so it is mandatory to include a country code for your numbers. If your data does not have a country code, Marqvia can help you add a specific country code to all of your numbers during upload.

To do this, select "No" under the "Phone Number have country code?" section and then select the country code you wish to add for all the numbers in the CSV file.
